What we do with your data.

Short version: we collect what you type into the forms on this site so we can reply to you. Analytics and advertising cookies only load if you say yes, you can change your mind at any time, and we never sell your details.

Who we are

Soracle Media is a UK-based creative media agency providing web design, SEO, social media and paid advertising services. For anything you submit through this website, Soracle Media is the data controller.

You can reach us about anything in this policy at hello@soraclemedia.com.

What we collect

  • What you type into a form. Depending on which form you use, that is some combination of your name, email address, phone number, website address, and whatever you write or tick. Nothing is pre-filled and nothing is collected from the form in the background.
  • Standard server logs. Our hosting provider records the usual technical information for every request: IP address, browser type, the page requested and the time. This happens automatically for any website and is used to keep the site running and secure.
  • Analytics, only if you accept it. If you say yes to cookies, Google Analytics records how you use the site: the pages you view, roughly where you are (country and city, from your IP address), your device and browser, and how you found us. It does not record what you type into forms.
  • Advertising measurement, only if you accept it. If you say yes to cookies, Meta records that your browser visited our pages and whether you sent us a form, finished the ballpark price tool, or clicked our email address. If you say no, none of this happens.

We do not collect payment details through this website, and we do not ask for any special category data. Please do not send us anything sensitive through a web form.

Why we collect it, and our lawful basis

We use what you submit to reply to you, to prepare the thing you asked for (a website audit, a keyword map, a ballpark estimate, an ad budget), and to have a sensible conversation about working together.

Our lawful basis for that is legitimate interests: you contacted a business asking for a quote or a resource, and replying to you is the obvious and expected outcome. You can object to this at any time and we will stop.

Analytics and advertising cookies, and anything we send to Google or Meta about your visit, rely on your consent. You give it by pressing Accept on the cookie message, and you can withdraw it just as easily. Withdrawing stops anything further being collected; it cannot recall what was already sent.

If you ask to join our mailing list, that is also consent, and you can withdraw it with the unsubscribe link in any email. We do not add enquiries to a mailing list.

Cookies, analytics and advertising

Nothing that tracks you loads until you press Accept.

When you first arrive, the site asks whether you are happy with cookies. Until you answer, and for as long as the answer is no, the site loads nothing from Google or Meta and sets no cookies apart from the one that remembers your choice.

If you accept, we load Google Tag Manager, which then loads Google Analytics and the Meta Pixel. Google Analytics shows us how the site is used, so we can see which pages help and which do not. The Meta Pixel shows us which of our Facebook and Instagram ads lead to enquiries, so we can stop paying for the ones that do not, and lets us show our ads to people who have already visited.

When you send us a form after accepting, our server also sends Meta a hashed (scrambled) copy of the email address, phone number and name you entered, along with your IP address and browser type. Meta uses these to match the enquiry to an ad you may have seen. We never send Meta the message you wrote or the answers you ticked.

If you are logged in to Facebook or Instagram in the same browser, Meta may also recognise you through its own cookies on its own websites. That is covered by Meta’s privacy policy, and you can control ad settings in your Meta account.

Who else sees your data

A small number of service providers process data on our behalf. Each is bound by a data processing agreement and may not use your data for their own purposes. Meta is the exception, explained below the table.

VercelWebsite hosting and server logsEU / USA
Google WorkspaceOur email, so anything you send us is stored thereEU / USA

Google Tag ManagerLoads our analytics and advertising tags, only if you accept cookies. It sets no cookies of its own.EU / USA

Meta Platforms IrelandAdvertising measurement and audiences, only if you accept cookiesEU / USA

For collecting and sending data through the Meta Pixel and Conversions API, Soracle Media and Meta Platforms Ireland Limited are joint controllers. Meta then uses that data under its own privacy policy, including to deliver and measure ads. Questions about what Meta holds are best sent to Meta; we will help where we can.

Where a provider processes data outside the UK, the transfer is covered by the UK International Data Transfer Addendum, the UK Extension to the EU-US Data Privacy Framework, or an adequacy decision.

We never sell your data. Apart from the Meta measurement described above, which only happens if you accept it, we never share it with anyone for marketing.

How long we keep it

  • Enquiries that do not become work: up to 24 months, then deleted.
  • Client records: for the length of the relationship, then 6 years after the final invoice, because HMRC requires it.
  • Mailing list: until you unsubscribe.
  • Server logs: retained by our host on their own short rolling schedule.
  • Cookies: as listed in the cookie table above.
  • Analytics data: kept in Google Analytics for up to 14 months, then deleted automatically.
  • Advertising data held by Meta: kept by Meta under its own retention rules.

Your rights

Under UK GDPR you can ask us to:

  • tell you what we hold about you, and give you a copy
  • correct anything that is wrong
  • delete it
  • restrict or object to how we use it
  • send it to you or another provider in a portable format
  • stop using it where we rely on your consent, which for cookies you can do yourself with Cookie settings

Email hello@soraclemedia.com and we will action it within one month. There is no charge. We may ask you to confirm who you are first, which is a safeguard for you rather than an obstacle.

Contact and complaints

Questions, requests and objections all go to hello@soraclemedia.com.

If you are not happy with how we have handled something, you have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.

In one paragraph
  • We collect what you type into our forms, and use it to reply to you.
  • Analytics and advertising cookies (Google Analytics and Meta, loaded through Google Tag Manager) only load if you press Accept.
  • If you accept and then send a form, Meta gets a hashed copy of your contact details to match it to our ads. Never your message.
  • Change your mind any time with Cookie settings at the bottom of every page.
  • We never sell your data. Email us and we will delete it.
